This policy explains what happens to your information when you chat with Ava on this website or call our AI voice receptionist. It covers Apexyn AI Automations directly — we don’t sell your information, and we don’t use it for advertising.
Information we collect
When you talk with Ava — by chat or by phone — she may ask for:
- Your name, email address, phone number, and company name
- Optional context about your business — industry, country, company size, the problem you’re trying to solve, your current workflow, budget range, and timeline
- The date and time you’d like to book an intro call, if you choose to book one
If you call our phone number, the call is handled by our voice AI platform (Retell AI), which processes your speech to have the conversation and keeps a recording and transcript of the call, the same way a human receptionist’s call system would.
If you use the chat widget, your conversation is temporarily saved in your own browser’s local storage so you don’t lose your place if you reload the page. That copy stays on your device — it isn’t something we access separately from the copy already stored on our servers.
How we use it
We use what you tell Ava to:
- Understand whether we’re a good fit for what you need
- Check real availability on our calendar and book an intro call, if you’d like one
- Send you a calendar invite and confirmation email for that call
- Follow up with you about your inquiry
Services we use to run this
We rely on a small number of service providers to make this work. Each one only receives what it needs to do its job — none of them are permitted to use your information for their own purposes:
- OpenAI — powers Ava’s conversation in the website chat widget
- Retell AI — powers Ava’s voice on phone calls, including speech recognition and call recording/transcription
- Google Calendar & Google Meet — used to check real availability, create your booked call, and generate a video call link
- Supabase — the database where your lead and appointment information is stored
- Make.com, Google Sheets, and Gmail — used together to log new bookings internally and send confirmation emails
- Vercel — hosts this website and the systems behind it
How long we keep it
We keep lead and appointment records for as long as reasonably useful for following up with you and running our business — for example, to honor a booking you’ve made or reference a past conversation if you get back in touch. You can ask us to delete your information at any time; see Contact below.
Your choices
You can ask us what information we have about you, ask us to correct it, or ask us to delete it, by reaching out through the contact details below. If you booked a call and want to cancel or reschedule it, just tell Ava — by chat or by phone — and she’ll take care of it directly.
Security
We use reputable, mainstream service providers and reasonable technical safeguards to protect your information. No system is completely secure, and we can’t guarantee absolute security of information transmitted over the internet or by phone.
Children
This site and phone line are intended for business inquiries and are not directed at children. We don’t knowingly collect information from anyone under 16.
Changes to this policy
If we make meaningful changes to how we handle your information, we’ll update this page and change the date at the top.
